The mail room supervisor is responsible for managing the daily operation of the college mail room to ensure the efficient and timely delivery of U.S./interdepartmental mail, office supplies, and print/copy services work requests. Primary responsibilities include daily supervision and coordination of the mailroom staff, retrieval of outgoing mail for sorting/processing, distribution of mail and parcels to on and off campus location, and delivery of outgoing U.S mail to the Arnold post office.

Manage and supervise the delivery process for incoming/interdepartmental mail, office supplies, and print/copy work requests to on and off campus locations. Retrieve outgoing mail from those locations and return to mail room for sorting and processing. Coordinate distribution with mailroom staff.

Sort and prepare outgoing U.S. mail using an automated postage meter using the appropriate method for time a cost. Prepare bulk mailings using the USPS Customer Gateway and deliver with proper paperwork to the Glen Burnie Post Office as needed. 

Maintain and replenish three separate postage accounts: one for the postage meters, one for bulk mail, and one for business reply mail. Keep track of account balances and request additional funds as needed to ensure the uninterrupted flow of outgoing mail. Ensure permits for each are paid annually.

Generate monthly reports on the volume of incoming and outgoing mail including the postage cost for metered and bulk mailings. Using Microsoft Excel, periodically send account transfers to the business office for reimbursement of postage for certain departments with postage budgets. 

Serve as primary point of contact for questions related to postal services and regulations. Coordinate unscheduled special requests for delivery/pick up, or problem solving.

Assist with the receiving and delivery process of UPS/FedX, and other freight.

High school diploma or equivalent

Minimum of two years of related experience

Experience supervising employees in a postal/parcel shipping related industry

Strong knowledge of postal services and regulations.

Demonstrated organizational and time management skills.

Strong customer service and problem solving skills.

Ability to work in a fast-paced environment with minimal supervision and with attention to accuracy and deadlines.

 

Experience operating a computerized postage meter machine.

Knowledge of Microsoft Outlook and Excel.
