More specifically, the Student Services Assistant at Glen Burnie Town Center (GBTC) is responsible for providing comprehensive assistance to students and the college community in all aspects of the enrollment process including admissions, records and registration functions, accounts receivable, international and English Language Learning students, continuing education registration, MyAACC instructions, and general college and building information. This position provides excellent communication and customer service to students, staff, and the public. This position supports college initiatives at GBTC and other sites on an as-needed basis.  


40 hours per week. Flexible schedule required to support operating hours Mon-Thurs 8:30am-6:00pm (until 7:00pm in January and August), Fri 8:30am-4:30pm, Sat 9:00am-1:00pm (closed Saturdays in June). Flexible schedule to support GBTC, AMIL, and FTM on short notice as needed.

What you will do in this role

Customer Service: Provide comprehensive customer service to new and returning credit and continuing education students and the the general college community in a courteous and efficient manner. The position is based at the GBTC location, but also supports the AMIL, FTM, and Arnold enrollment services offices on an as-needed basis. Provide general college and building information, operational support, excellent customer service assistance, and act as a liaison for students to services only offered at the Arnold campus. Respond to email and phone calls in a timely and professional manner.

Admissions: Assist students in completing the online admission application and enter paper applications in the student database when necessary. Assist students in obtaining official transcripts from other colleges, high schools, or testing services. Enter assessment measures and scores, including high school GPA, SAT, ACT, high school course information, and previous college coursework. Enter receipt of high school transcripts, diplomas, and college transcripts into the student database. Resolve admissions-related issues.

Records and Registration: Enter credit and continuing education student registration, drop, add, and withdraw requests. Update student addresses in the database. Connect students with information regarding enrollment verification and transcript requests. Encourage a culture of student self-service by teaching students how to use online services. Resolve registration-related issues. Scan all student-related documents into the document imaging system and link them to the correct student record.

Cashiering: Process all forms of acceptable payment from the student in accordance with established college procedures. Create student payment plans and provide reminder of due dates. Reconcile payments daily and submit to the Arnold cashier's office. Resolve payment-related issues.

Financial Aid and Academic Advising Support: Assist students in making advising and financial aid appointments. Assist students in signing into the advisor/financial aid sign-in kiosk upon arrival. Assist in maintaining the appointment schedule when a student arrives late or an advising session runs over. Notify advisors when appointments have arrived, as requested. Connect students with financial aid resources.

Building Support: Assist in delivery of college initiatives at Glen Burnie Town Center. Assist in delivery of college initiatives at AMIL, FTM, and Arnold as needed. Assist students in finding classrooms and services. 

Office Appearance: Ensure schedule of classes, test prep booklets, and forms are in stock and available to customers. Assist in maintaining professional appearance of office space. 
Supervision: Provide general office supervision in the absence of the Coordinator. 

Enrollment Services Assistance: Provide assistance to the admissions and records office to respond to department emails, data entry/update tasks, and support more extensive document archival/imaging in the records office, as requested and agreed upon. Provide assistance to the college's phone center as needed.

What you will bring to this position

High school diploma or equivalent

Minimum of one year of direct customer service experience required. Excellent oral, written, and interpersonal communication skills required. Ability to work tactfully and effectively with a diverse student, faculty, staff, and community population.

Minimum of one year of experience working effectively in a high volume, fast-paced office environment with minimal supervision and with utmost attention to accuracy, details, and deadlines. Strong critical thinking and problem solving skills.

Ability and means to travel between Glen Burnie Town Center, Arundel Mills, Fort Meade, and Arnold campuses as needed. Flexibility to allow for short notice about location and schedule.

Ability to maintain the confidentiality of student records. Strong computer skills including knowledge of the internet, word processing, spreadsheets, and data entry in large relational databases.

Ability to work a flexible schedule, including some nights and weekends to accommodate the needs of the department. Mon-Thurs 8:30am-6:00pm (until 7:00pm in January and August), Fri 8:30am-4:30pm, Sat 9:00am-1:00pm.

Associate degree or higher preferred. Experience serving customers in a community college enrollment services setting. Experience processing check and credit card payments.

 

Experience with data entry in Ellucian Colleague. Experience using Perceptive Content for document retrieval and/or scanning.

Ability to gain access to the Fort Meade Army installation.

Basic speaking and listening skills in any of the following languages: Spanish, Korean, Chinese, Arabic, and/or French. Fluency in American sign language.

 

Experience applying the regulations of the Family Educational Rights and Privacy Act (FERPA) to customer service situations. 

 

This position requires use of a personal vehicle. This position is primarily located at GBTC, but is required to travel to GBTC, Arnold, and Fort Meade as required.

Short notice may be required about working location and schedule depending on needs of the off-site enrollment offices.
