Document Imaging Assistant-Part Time

Records & Registration - HREC

The Document Imaging Assistant is responsible for assisting with the daily operations of the Records and Registration record retention and archival process, which includes support to other college departments.  The Document Imaging Assistant processes large volumes of detail-oriented data in a time-sensitive environment using current archival technologies.  In addition, the Document Imaging Assistant is responsible for maintaining and retrieving college records stored on microfilm and microfiche.

• Use current technologies to archive large volumes of documents in an accurate and timely manner.

• Prepping, scanning, checking and linking paper student record documents into the electronic document management system (will train).

• Retrieve student and course records from microfiche, microfilm, and college catalogs in support of converting records to an electronic format.

• To ensure accuracy, conduct random quality assurance on documents scanned and linked at off-site locations. 

• Maintain confidentiality and security of documents and ensure destruction according to the AACC retention policy.

• Assist in training staff on the use of college archival technologies.

• High School diploma or equivalent required.

• Ability to work effectively with attention to accuracy, details and deadlines.

• Ability to work independently or in a team setting with minimal supervision.

• Ability to work a flexible schedule.

• Demonstrated experience in and aptitude for working with large, integrated information systems and document imaging systems. Experience with Ellucian Colleague and Perceptive Content systems highly desirable.  

• Strong analytical and problem solving skills.

• Demonstrate confidentiality and ability to interpret, the Family Educational Rights and Privacy Act regulations.
